Bookkeeper / Controller — payroll, accounting & resident administration

Payroll, accounting, and resident administration in Sage 50. Reports to the director, supporting roughly 35 to 40 employees. Full-time, remote work possible.

Résidence Unique Sherbrooke is seeking an experienced Bookkeeper to manage payroll, accounting, and resident administration. Reporting directly to the residence director, this role plays a key part in financial operations, regulatory compliance, and day-to-day administrative efficiency.

Experience in a seniors' residence or healthcare setting is a significant asset.

Payroll & human resources

  • Process bi-weekly payroll for approximately 35 to 40 employees

  • Maintain employee records and files

  • Prepare source deduction remittances, union dues, Records of Employment (ROE), as well as T4 and RL-1 slips

  • Manage CNESST files

  • Manage and reconcile vacation and sick-leave banks

  • Ensure compliance with the collective agreement

Accounting & finance

  • Maintain the financial records in Sage 50

  • Manage accounts receivable and accounts payable

  • Ensure timely collection of rents from residents and government bodies (CIUSSS, Public Curator, etc.)

  • Process supplier payments and manage cash flow

  • Reconcile bank accounts, petty cash, and corporate credit cards

  • Prepare monthly financial reports and aged-account reports

Resident administration

  • Manage leases and resident files

  • Keep the rent roll up to date

  • Coordinate lease renewals (June 30 and September 30)

  • Administer resident subsidies and the distribution of pocket money

  • Produce RL-31 slips and assist residents with their tax credit applications

General & compliance

  • Coordinate regulatory reports, certifications, and required permits

  • Administer insurance policies, renewals, and related subsidies

  • Identify, analyze, and manage financial assistance programs and government subsidies available to the residence

Requirements

  • Good understanding of the operations of a seniors' residence

  • Excellent working knowledge of Sage 50 (payroll edition specifically) and the Microsoft Office suite

  • Excellent organizational skills, autonomy, and attention to detail

  • Professionalism, discretion, and strong interpersonal skills

  • Functional spoken English

  • Ability to work independently and in collaboration with management, unions, and government agencies
